Structure of application letter for a job in Nigeria

To ensure your letter is easy to read and professionally sound, follow this exact sequence:

  1. WRITER’S ADDRESS
  2. DATE
  3. RECEIVER’S ADDRESS
  4. SALUTATION
  5. TITLE OR HEADING
  6. INTRODUCTION
  7. BODY PARAGRAPH
  8. CONCLUSION
  9. CLOSING REMARK
  10. SIGNATURE
  11. WRITER’S NAME

1. Writer’s Address

Write this first and at the top right corner of your page.

CORRECT FORMAT:

  • House number, Street name,
  • Town/city, Local Government,
  • State.

2. Date

Write this next and under your address, still at the top right corner.

CORRECT FORMAT:

  • Day Month, Year.

3. Receiver’s address

Write this under the date but at the left corner of your page.

CORRECT FORMAT:

  • The Receiver’s Title,
  • Company Name,
  • City, State.

4. Salutation

Write this under the receiver’s address, according to the gender of the receiver.

EXAMPLES:

  • Dear Sir, (for a man)
  • Dear Madam, (for a woman)
  • Dear Sir/Madam, (when the gender is unknown)

5. Title or heading

Write this in CAPITAL LETTERS, under the salutation. It tells the employer the exact position you are applying for.

EXAMPLE:

  • APPLICATION FOR THE POSITION OF ACCOUNTANT

6. Introduction

State clearly that you are applying for the job and mention where you saw the advert.

7. Body paragraphs

This is where you sell yourself.

  • Use the 1st paragraph to list your qualifications.
  • Second paragraph for your years of experience in a similar job.
  • And the 3rd for how your skills are relevant to the job.

8. Conclusion

Emphasize your competency and availability for an interview.

Mention that your CV is attached for their review.

9. Closing Remark

Write this under the conclusion and at the right corner of your page.

CORRECT FORMAT:

  • Yours faithfully,

10. Signature

Sign here.

11. Writer’s name

Write your full name (surname first) under your signature.

EXAMPLE:

  • Onuegbu Samson.
